Maps - Care and maintenance of the maps collection

1. NOAA Products

1.1 Nautical Charts:

NOAA National Ocean Service publishes both flat and folded nautical charts.

  • The folded charts are shelved in pamphlet shelf files in the map area, and the flat charts are in flat file cabinets in the same area. There are also some bound nautical charts in book form located underneath the folded nautical charts.
  • Nautical charts come in a wide variety of chart types, but they are all accessed by 5 digit number as found in the Nautical Chart Catalog, copies of which are in the map area as well as at the front desk. (Exceptions to this 5 digit number are chart numbers 50, 411, 500, 501, 530, and 531).

1.1.1. Processing folded charts

All of the folded charts have been cataloged and barcoded, and should continue to be processed this way. In the fall of 2005(?) a decision was made to adopt serial records of folded charts from OCLC and transfer the existing call numbers for analytics to this new serial record. Once the serial records are created, holdings will be added as new editions arrive. This is an ongoing process that is done as new editions of the folded charts arrive.

1.1.2. Processing flat charts

In December, 2005 a serial record [Nautical Chart, C 55.418/7:] was created in NOAALINC that represents all the flat nautical charts published by NOAA. Each flat chart should be added to this record as a new volume with chart number, edition, and year indicated in the call number: e.g. C 55.418/7: 411 50th ed. (2005). To assist users with identifying chart numbers appropriate notes have been added to the record along with a link to the Nautical Charts Catalog: http://nauticalcharts.noaa.gov/mcd/ccatalogs.htm. This record also includes information on NOAA PocketCharts. A project to catalog all the flat nautical charts retrospectively is under way.

In summary:
All NOAA nautical charts should be cataloged on serial records.

  • For folded charts a serial record for each chart title should be created. They should be checked in both in NOAALINC and in Marcive*, stamped, SUDOC number added in pencil and barcoded before they are shelved.
  • Holdings for flat charts should be added to the serial record, checked in as being in the map area in Marcive and stamped. Do not barcode or label individual charts, just file them by the chart number in labeled drawers. Out of date editions should be stamped “SUPERSEDED”**.

1.1.3. Dates of Latest Editions

NOS Nautical Charts & Misc. Maps is an important tool that helps identify current editions of nautical charts. Charts with edition dates prior to those listed in this publication are obsolete for use in navigation. The charts are listed by number, so you have to consult chart catalogs to identify chart titles you need. This publication is issued quarterly and the latest issue is kept at the reference desk. Call number is Z6028.D384. You can also access it online via Office of Coast Survey at http://nauticalcharts.noaa.gov/mcd/dole.htm

2. Non-NOAA Products

2.1. Federal Aviation Administration, National Aeronautical Charting Office

2.1.1. Aeronautical Charts

    A collection policy decision was made by the staff that only one year’s worth of these charts will be retained. As each new chart is filed, eliminate the old one that is more than one calendar year old. Be sure to withdraw these eliminated editions of these charts from Marcive.

    Holdings are not indicated in NOAALINC. The local notes information is provided in metadata: “Library retains current year only”. The charts should be checked-in in Marcive, stamped and the SUDOC number should be added in pencil to the upper left hand corner before they are filed in the shelf files in the map area.

  3. North Pacific Route Charts (flat)

    This is a set of charts that includes a composite chart, as well as separate charts for NE, NW, SE, and SW Pacific Routes. They are large charts and need to be folded to fit in the large map drawer.

    As with the North Atlantic Route Charts, a collection policy decision was made by the staff that only one year’s worth of these charts will be retained. As each new chart is filed, eliminate the old one that is more than one calendar year old. Be sure to withdraw these eliminated editions of the charts from Marcive.

  5. Sectional Aeronautical Charts (folded),

    These charts are filed alphabetically by city name (chart name) in shelf files on the shelves in the map area. They are revised every 56 days. The library retains all issues of these charts.

    These charts are checked-in in Marcive, stamped and the SUDOC number is added in pencil. Holdings are added to the NOAALINC record for each particular Sectional Chart by name and each chart is barcoded before they are placed on the shelf.

  7. VFR Terminal Area Charts(TAC’s) (folded)

    Like the Sectional Aeronautical Charts, these charts are filed alphabetically by city name (chart name) in shelf files on the shelves in the map area. They are also revised every 56 days. The library retains all issues of these charts.

    These charts are checked-in in Marcive, stamped and the SUDOC number is added in pencil. Holdings are added to the NOAALINC record for each particular TAC by name and each chart is barcoded before they are placed on the shelf.

  9. U.S. Gulf Coast VFR Aeronautical Chart (folded)

    These charts are revised annually. The library retains all issues of these charts. Like the other aeronautical charts, they are in a magazine case in the map section. These charts are checked-in in Marcive, stamped and the SUDOC number is added in pencil. Holdings are added to the NOAALINC record and each chart is barcoded before they are placed on the shelf.

  11. Helicopter Route Charts (folded)

    These charts are for individual cities, each city has its own record in NOAALINC. They are revised on an irregular basis. These charts are processed by assigning location as MAP area in Marcive, stamping and adding the SUDOC number to the upper left hand corner of these folded charts. They are added as a new edition on the NOAALINC record and barcoded before they are placed on the shelf.

  13. World Aeronautical Charts (folded)

    These charts are similar to the Sectional Aeronautical Charts and the VFR Terminal Area Charts in their processing. They are filed by chart number in the shelf files on the shelves in the map area. However, these charts are only revised once a year. The library retains all issues of these charts.

    These charts are checked-in in Marcive, stamped and the SUDOC number is added to the upper left hand corner in pencil. Then holdings are added to NOAALINC record for each particular chart by name and they are barcoded before they are placed on the shelf.

    This set of 5 charts is published every eight weeks. These charts are checked-in (not barcoded) in NOAALINC individually as new issues arrive (please follow the established pattern: e.g L1/L2 FEB16, 2006.) They are also checked-in in Marcive, stamped and shelved with the call number added on the upper left hand corner in pencil. The library currently retains all back issues of these charts.

    These charts are revised annually, are in shelf files in the map area. These charts are checked-in in Marcive then stamped and the SUDOC number is added to the upper left hand corner of the charts in pencil. Then holdings are added to the NOAALINC record and the items are barcoded before they are placed on the shelf.

2.2 National Geospatial-Intelligence Agency products

                                    Tactical Pilotage Charts (TPC Charts)      GOV DOC MAP D 5.354:TPC

These charts are produced by the National Geospatial-Intelligence Agency (formerly National Imagery and Mapping Agency (NIMA), formerly DMA) and distributed by NOAA. They are received through the FDL program. TPC charts support high speed, low altitude, radar and visual navigation of high performance tactical and reconnaissance aircraft at very low through medium altitudes. They also provide base map information (especially topographic) that a patron may be interested in. An index to these maps, entitled “National Imagery and Mapping Agency, Public Sale Catalog, Aeronautical Charts and Publications” is on the shelf with these charts in the map area.

The library retains the latest editions of TPC charts and they are cataloged in one serial record [Tactical pilotage charts, D 5.354:TPC]. Additions to the collection should be barcoded, checked-in in Marcive, stamped and have the SUDOC number added in pencil before they are filed in numerical order.

JNC charts are also received through the FDL Program and they are in shelf files next to the TPC charts. Like TPC charts, the library retains the latest editions of JNC charts and catalogs them in one serial record [Jet navigation charts, D 5.354:JNC]. Additions to the collection should be barcoded, checked-in in Marcive, stamped and have the SUDOC number written on them in pencil before they are filed in numerical order.

2.2.1. Nautical Charts

These non-NOAA nautical chart products are not part of the Federal Depository Program and therefore do not have a SUDOC number.

  1. British Admiralty Charts
  2. An agreement exists between the NOAA Central Library and the UK Hydrographic Office concerning the charts that are sent to us under Reciprocal Exchange (in the map documentation folder). These charts are filed in flat file cabinets in the map area that are labeled British Admiralty Charts. Note that some of these charts are also considered part of the International Chart Series (see note below). They are currently filed within the correct drawer but not in correct order. In February 2006 it has been decided to catalog the British Admiralty Charts in one serial record like NOAA Nautical Charts. Each Admiralty chart should be added to this serial record [Admiralty charts, GA361 .G7 no.2 6th ed.(2001)] and barcoded. Library retains the latest edition of these charts.

  3. French Charts–Service Hydrographique et Oceanographique de la Marine
  4. An agreement also exists regarding these charts; Steve Quillen has written them a letter requesting clarification of this agreement (approx. 3/22/00). In March 2006 Brian Voss, the Seattle regional librarian agreed to add these charts in his library’s collection. Shipment of these charts started in April 2006. A serial record was created in OCLC to assist Brian with cataloging the French charts. Again, some of these charts are part of the International Chart Series (see note below).

  5. Canadian Hydrographic Service
  6. Canadian nautical charts published by Canadian Hydrographic Service and distributed by NIMA are received through the Federal Depository Program (item number 0378-E-21). Library keeps the latest revision. These charts haven’t been cataloged and are filed in the flat file cabinets in no particular order.

  7. German Hydrographic Office
  8. Nautical charts received from German Hydrographic Office are not cataloged. Small craft charts which are small in size are filed in a small flat file cabinet; regular ones are in a large flat file cabinet.

  9. NIMA (former DMA/currently NGA) Charts
  10. These charts are located in 3 drawers of a large flat file cabinet underneath the later part of the NOAA nautical flat charts. Additional room may be needed to incorporate the maps that have not yet been filed. These maps have not been cataloged in the NOAA Central Library but appear to be available in OCLC.

    NOTE: The International Map Series is a series of nautical charts that is comprised of charts from many agencies throughout the world. It is run under the auspices of the International Hydrographic Organization (see http://www.iho.shom.fr/ ). These charts are labeled with an INT number in addition to the number assigned to them by their producing agency. A publication entitled “General Nautical Charts and International Chart Series” (item number 0378-E-30, SUDOC number D 5.356:) is available from GPO, Anna is trying to obtain this document for the library. However, this may not be a comprehensive accounting of all of the charts in this series since they appear to come from a wide variety of countries.

3. Miscellaneous

3.1. Department of Interior Products

These products are received through the Federal Depository Library Program

  1. U.S. Geological Survey Miscellaneous Reports

    These products are map and text products packaged in one folder (usually manila). There are several series to these products–CP, GQ, HA, I and MF.  These are cataloged as individual items in NOAALINC and barcoded after the initial processing that includes stamping, labeling, and checking-in in Marcive. They are housed in shelf files in the map area.

  3. U.S. Geological Survey Topographic Quadrangles

    We have the 7.5 minute topographic quadrangles for the District of Columbia, Maryland, Virginia, and West Virginia.  They are in small map drawers in alphabetical order by state.  They are in small flat file cabinets in alphabetical order by state. They have not yet been cataloged and can be placed in the drawers upon receipt until time that they are properly processed.
