At the end of calendar year 2001, NCL followed the lead of the Library of Congress and incorporated AACR2R revisions to Chapter 9, Electronic Resources, into its practice.  NCL favors the CONSER approach to cataloging all electronic resources (i.e., those that are indirectly and directly accessible), including Internet resources.

MARC fields

MARC 245 - Title statement

Because 2001 revisions to AACR2R Chapter 9 define "the resource itself" as the chief source of information, catalogers are no longer obliged to reflect title screen titles as titles proper.  If, for example, the HTML source title provides a fuller and/or clearer title statement than the initial screen title, then use it for MARC 245 $a.

For the general material designation (GMD) for MARC 245 $h, use the term "electronic resource", in accordance with revised AACR2R practice.

MARC 246 - Varying form of title

When the HTML header title is not the title proper, place it in a MARC 246 field as a variant:

MARC 246 may also be used for "speculative" titles, e.g.:

MARC 256 - Computer File Characteristics

In accordance with CONSER practice, NCL does not use MARC 256 for electronic resources; instead, NCL uses MARC 516 - Type of Computer File or Data Note.

MARC 260 - Publication, Distribution, etc.
[and FF DtSt: Type of Date/Publication Status
and MARC 500 - Edition and history note ("updated" status note)]

Except for unequivocally static documents, consider Internet-accessible monographs to be published over a range of dates.  For Internet-accessible monographs, NCL thus provides:

    - code "m" in DtSt,
    - a hyphen after the date of publication, distribution, copyright, etc., in MARC 260 $c, and
    - a MARC 500 updated status note (a.k.a. "edition and history note") to justify the open monograph treatment:

MARC 500 Notes

In accordance with CONSER practice, the order of notes is strictly numerical.  Mandatory and recommended notes for Internet resources are:

MARC 500 - Source of title proper note    [Status: mandatory]

Always combine the source of title proper note with viewing date (i.e., "item described" note), in accordance with AACR2R 9.7B3, e.g.:

  500       Title from online title screen (viewed on May 12, 1999)

MARC 500 - Edition and history note        [Status: recommended]

NCL employs the following verbiage and punctuation conventions for this field:

  500       Frequently updated; last updated <Feb. 26, 2001->.

MARC 505 - Formatted Contents Note      [Status: recommended]

Use MARC 505 entries in anticipation of likely keyword searches.  If the contents note includes a formal document title(s) that is not otherwise represented in the catalog, then trace the title(s) in MARC 740 (02) - Added entry, Uncontrolled analytical title(s), e.g.,

MARC 516 - Type of computer file or data note    [Status: mandatory]

MARC 516 is used in lieu of MARC 256 - Computer File Characteristics, in accordance with CONSER practice.

Apply  the most detailed, appropriate designation from ISBD(ER): International Standard Bibliographic Description for Electronic Resources, Appendix C. Recommended general material designation, resource designations and specific material designations with their definition, available at: http://www.ifla.org/VII/s13/pubs/isbd4.htm#26

Examples from the NCL catalog are:

  516       Electronic online service.
  516       Electronic text, maps, and numerical data.
  516       Electronic text and image data.
  516       Electronic serial in SGML and PDF formats.

MARC 520  - Summary Note [Status: recommended]

Although not required, the summary note is highly recommended for Internet resources as an important aid to save the time of the reader.  Sample summary notes:

  520       This document contains the findings for the coastal
            nonpoint pollution control program submitted by the
            State of Louisiana pursuant to Section 6217(a) of
            the Coastal Zone Act Reauthorization Amendments of
            1990 (CZARA). The findings are based on a review of
            the Louisiana Coastal Nonpoint Pollution Control
            Program, October 1995 and supplemental material
            provided by Louisiana subsequent to the program
            submittal. The National Oceanic and Atmospheric
            Administration (NOAA) and the U.S. Environmental
            Protection Agency reviewed this information and
            evaluated the extent to which it conforms with the
            requirements of the CZARA.

  520       This site is an online Archive of the National
            Hurricane Center. It provides text, numerical and
            image data on Atlantic and Pacific hurricanes. The
            hurricane preliminary and tropical cyclone reports
            are included. Available via the NHC's home page
            (Click on "Archives").

MARC 530 - Additional Physical Form Available Note    [Status: mandatory if applicable]

Whenever the bibliographic record contains a MARC 856 (41) field that represents an Internet version of the document on which the record is based, there co-exists a MARC 530, e.g.,

Otherwise, use MARC 530, Additional Physical Format and Access Note, to explain special relationships, navigation instructions, and/or other necessary steps for access that are not represented in MARC 856 $z; however, do not place URL(s) in MARC 530.  If an adapted record contains any URLs in 530 (an especial likelihood in GPO records), then delete the URLs therefrom and consider representation in a separate 856 field instead.  Examples of MARC 530 special instructions are:

MARC 538 - Mode of Access Note       [Status: mandatory]

The NCL entry is:

For Internet resources, give only if special software or peripherals are required for access, e.g.,

   538  System requirements: Adobe Acrobat Reader.

MARC 793 - Local Added Entry, Uniform Title

For electronic resources from NOAA, select appropriate locally added uniform title entries from the NCL authority list of entries for this field, available at:

MARC 856 - Electronic Location and Access

When the electronic resource that is the basis for the bibliographic record has a print counterpart, include a MARC 530 - Additional Physical Format field:

    530       Also available in print format.
    856 40    $u [URL]

When providing an 856 field for a version of the document that is the basis for the bibliographic record, include also a Public Note in $z.  For specific guidance for $z, see:

When providing an 856 field for a related resource to the document that is the basis for the bibliographic record, present a justification for the appearance of the related resource with a MARC 500 - General Note:

MARC 949 -  Detailed Local Holdings

For online documents, create a 949 field only for those that are available online in full text; that is, do not create 949 fields for documents represented by MARC 856 with indicators 42.

For full-text online documents, ensure that the following elements are present in their corresponding MARC 949 fields:

    - call number qualified with (Online)
    - the holding code OLAI
