Determination of whether or not a document is a cruise report

Documents may be named "cruise report" directly, either in title or content; or, documents may not be named "cruise report" formally, but are reports that document either observations of expeditions or results of experiments conducted aboard research vessels. Either situation legitimates treatment as a cruise report in NCL bibliographic records.

Definition of "expedition" as background for data elements recorded in the bibliographic record:

An expedition may be multiple ships that collect data in the same area or one ship that collects data over a single or multiple cruises. Typically, an expedition is named. Catalogers are instructed to trace the expedition name and, in the case of a multiple-ship expedition, to trace the individual ships' names.

National Oceanographic Data Center (NODC) and cruise reports

NODC maintains an archive of oceanographic data from which component datasets are made available to the public in a variety of media, including online via the Internet.  Cruise reports cataloged by NCL may or may not be accessioned by NODC for its oceanographic data archive.

If a cruise report has been assigned an NODC accession number, then the report will bear the four- to seven-digit NODC accession number on the front cover in the top right corner.  Each cruise that bears an NODC accession number is traced in a MARC 590 - Local Note, as described below.  Each cruise that bears an NODC accession number also must be checked for possible online availability by NODC, as described below.

If NODC has determined that it will not assign an accession number to a cruise report, then the report will bear the handwritten word "no" on the front cover.  Catalog these cruise reports according to all appropriate practices described herein, with the exception of the provision of the local note for accession number and a referral to NODC's WWW site.

If an NCL cataloger encounters a cruise report to be cataloged that shows no evidence of having been checked for NODC accessioning, then the cataloger should deliver the cruise report to the NODC project manager so that the cruise report data may be checked appropriately.

CRUISE REPORTS ELEMENTS TO CATALOG

Cruise name, number, and date

If cruise name, number, and date are available in MARC field 245, then trace them in  MARC 246 30, e.g.,

In the absence of name, number, and date in MARC 245, create MARC 246 fields for as many cruise-related data as there are available in MARC 245, e.g.,

245 00 CTD/O', LADCP and XBT measurements collected aboard the R/V Seward
            Johnson, December 1998 :|bNorth Brazil Current rings experiment cruise 1
            (NBC-1) /|cC. Fleurant ... [et al.].

If the cruise name, number, and date are not present in title proper, then create 500 notes, quoted or not, to make this information accessible. If cruise information is not available on title page, cover, spine, etc., then obtain the information from the text (usually from the abstract, introduction or even outside sources, if possible). If it is necessary to create 500 notes to capture descriptive data about the cruise, then add cruise name, number, and date in a MARC 610 and/or MARC 710 field, as appropriate.

NODC accession number - MARC 590, Local Note

Catalogers should record the accession number in a MARC 590 [Local Note] after the following pattern:

590     SILVER SPRING: NODC accession: 9900204.

If multiple NODC accession numbers have been assigned, then include all in a single MARC 590 field, in numerical order and separated by commas, e.g.,

590     SILVER SPRING: NODC accession: 6700000,6800000,6800164.

If no NODC accession numbers have been assigned, then simply skip this entry, but include the others, as appropriate.

Ship name(s)

General guidance for the creation of a heading for a ship name is provided by Library of Congress' Cataloging Distribution Service's Cataloging Service Bulletin, No. 93 (Summer 2001), p. 16:

    When establishing a heading for a ship, add a general designation in English as a qualifier if
    the name alone does not convey the idea of a corporate body.  If there is any question as to
    whether there is an appropriate general term, take the term from the item being cataloged.
    If there is more than one ship with the same name, add a term as specific as necessary to
    resolve the conflict.

                        (Unique heading; qualifier added to clarify the meaning of the heading)

            110 2_ $a Franklin (Aircraft carrier)
            110 2_ $a Franklin (Steamship)
                        (Two ships of the same name but each of a different type)

            110 2_  $a Lexington (Aircraft carrier : CV6)
            110 2_  $a Lexington (Aircraft carrier : CVA(N) 65)
                        (Two aircraft carriers with the same name)

Any initial application of a qualifier should be a general qualifier.  If there remains a conflict with another ship name(s), then qualify the newer heading further with the date that the ship was built, if possible :

    110 2  $a Shipname (qualifier : yyyy)

Example from OCLC Authority file:

    110 2   Essex (Ship : 1806)

which distinguishes it from other ships named "Essex", e.g.,

    110 2   Essex (Ship : 1806-1820)    -->  see Essex (Whaleship)

Other examples of ships' names:

    David Starr Jordan (Ship)
    George M. Humphrey (Ship)

Ship name(s) - MARC 610, Subject Added Entry-Corporate Name

Give the ship's name as a subject added entry in MARC 610_20 if there are ten or fewer of these entries. Take the ship's name from the OCLC authority file. If it is not present there, then create one following the LC pattern entries for ships' names as described above.

Include the cruise number and date if available, e.g.,

610 20 Casco (Ship). $b Cruise $d (1963)                                [cruise date only]

610 20 Brown Bear (Ship). $b Cruise $n (308 : $d 1962)          [cruise number + date]

Although cruise numbers typically are associated with ships, as demonstrated by the second 610 field example immediately above, there are cases where cruise numbers are associated instead with programs.  An example of NCL treatment of a cruise-related program with which the cruise number is associated is:

Ship name(s) - MARC 710, Added Entry-Corporate Name

When the criteria for corporate body added entry are met, provide tracing(s) for ship names in MARC 710.  These tracings may occur in addition to appearances of the same ship name(s) in MARC 610.  Provide MARC 710 tracings in addition to MARC 610 tracings for ship names only if three (3) or fewer cruises are represented in the document.  Give MARC 710 added entries for other entities involved in cruises, e.g., universities, corporations, associations, laboratories, etc. In general, make judgments for added entries and subject headings on a case-to-case basis.  For examples of appropriate MARC 710 tracings for cruise reports, see records 2, 3, 4, and 5 at the end of this section.

Uniform Title "Cruise Report" - MARC 793, Uniform Title Local Added Entry

A cruise report, regardless of NODC accession status, is always traced as a Uniform Title Local Added Entry in MARC 793:

Apply either:

793 0_ Cruise report.

or:

793 0_ NOAA cruise report.     [Apply to any cruise report that reflects NOAA involvement in data
                                                   collection.]

National Oceanographic Data Center (NODC) online cruise report data

Provide instructions for access to cruise report data that are made available online by NODC by the creation of appropriate notes in MARC 856 subfield z.  The content of MARC 856 notes is determined by the method of access to cruise report data that NODC facilitates.  NODC provides cruise report data via file transfer protocol (FTP) either:

    - directly online, in which case the cataloger supplies a URL for a list of data reports
       for a single year; or,

    - upon request, in which case the cataloger supplies a pointer to NODC's National Virtual Data
       System (NVDS) "Contact" page.

To ascertain the status of online cruise report data to reflect in the bibliographic record, catalogers should first consult the archive of oceanographic data at NODC:

    Select the year of the accession number(s) and browse the resultant list to ascertain possible online availability.

For a cruise report for which the data is made available directly online from NODC, bibliographic data in an NCL record include a general note (MARC 500) and a URL for the calendar year of the NODC accession (MARC 856):

If  a cruise report carries an NODC accession number, but does not appear on the NODC Direct WWW site, then instruct the reader to contact NODC's National Virtual Data System (NVDS) with a specific request:

When several cruise reports are reflected in a single bibliographic record and only one or a few of them are made available directly online via NODC Direct, provide only the above instruction to readers to contact NODC's NVDS.

Final steps for processing cruise reports

Once cruise reports that have been assigned an NODC accession number are ready for shelving (i.e., when the bibliographic record and labeling are complete), return them to the NODC project manager so that further processing in support of NODC metadata contract documentation may occur.

Correct all bibliographic records of cruise reports that have been entered into NOAALINC in the past according to the above guidelines.
