Special cataloging/processing
situations:
1.0 Checking in Periodical Issues
1.1 Searching for a Title
Use the Serials Tool Bar (SERIALS on the list of toolbars).
Click on Check In Issues of a Serial wizard, the 1st icon on
the left (red and blue arrows on a book).
At the Check In:Select Search window, enter your search and
click OK.
If you get a Check In:Special Instructions window follow the
instructions. The Library does not perform check-in for a number
titles; if so, you will see the message here instructing you to not
check in the title, but instead, edit the MARC Holdings Record.
You may also see special instructions about processing the item or
creating a check-in record. Once you have read the note, click
"OK" to move on to the next window.
1.3 Checking In
You will next see the
Check In: Check In Issues window (if you
don't get a
Check In:Special Instructions window, you will go
there directly). The screen consists of a series of tabs with
"arrow" tabs for navigating between screens. The buttons at the bottom
of the screen and the icons at the top will change depending upon which
tab you display. Use the
Next Issue tab or the
Expected
Issue tab to check in issues; use the other tabs to display or edit
related information.
1.3.1 Next Issue tab
This tab features an Expected Issue box with Enumeration,
Chronology, Base Call Number, copies expected, and copies
received for the next issue that Unicorn expects.
- If the information matches the issue you have to check in (ignore
the Base Call Number), then click the Check In Now
button. If the information does not match the issue you have to
check in, then you will have to click one of the other buttons.
- Different Copies button. Use this button to change the
number of copies checked in while using the same check-in record.
Normally you would only use this with NOAA publications (only receive 2
copies). When you click on this button Unicorn displays the Check
In: Change Copies to Receive window where you can change the number
of copies and add a comment if you wish.
- Different Issue button. Use this button to display
the Check In: Select a Predicted Issue window. This window
will display all of the predicted issues for the title and then allow
you to do one of the following tasks:
- locate another issue record on the list, then click on the Selected
Issue button to check that issue in,
- click on the Special Issue button and enter enumeration
and chronology for an issue that you cannot predict,
- click on the Combined Issue button to combine two
check-in records for a combined issue,
- click on the Modify Issue button to change details for a
particular check-in record
- click on the Cancel button to go back to the Nest
Issue window
1.3.2
Expected tab
This tab shows a list of all the predicted issues for the title (just
like the
Different Issue button) and allows you to choose one to
check in. You cannot edit any issues on this tab, however.
1.3.3 Received tab
This tab shows you which issue records have been checked in.
1.3.4 Claimed tab
We don't use the system to claim at this time. Ignore this tab.
1.3.5 Control tab
This tab shows basic information about the control record and features
the Modify Control button which will allow you to make changes to
the control record and then return to check in. For instructions
on how to create or modify a serial control record see Periodicals
processing - Creating serial control records.
[click on the right arrow tab to see the next screen of tabs]
1.3.6 MARC Hldgs tab
This tab features button(s) that will take you to the MARC Holdings
Record(s) for this title. Consult Periodicals processing - Entering holdings
for instructions on how to edit the MARC Holdings Record.
1.3.7 Distribution tab
This tab will show you the distribution details for this title.
To make changes to the distribution you must edit the serial control
record.
1.4 Completing the Process
Whichever method you use to check an issue Unicorn will display a Check
In: Issue Received window which will show basic information about
the issue you just checked in, plus distribution details which will show
if it created MARC Holdings information. You have the choice at
this point of checking-in the next issue, or looking up another title.
